Digital signature

Electronic signature – you office is where you are!

In the era of modern technology achievements, online document management solution OrganizedDocs presents only a logical desire and attempt to make your business and your existence easier. In that sense, we have decided to take even one step further.

We present to you a new functionality in OrganizedDocs! Electronic signature.

It will enable you to sign your documents from wherever you are, just as long as you have Internet access. All you really need are: card reader, electronic signature card, computer, Internet , and, of course, OrganizedDocs. Certification facilities that can provide you with your electronic signature card can be found all over the world. Each country have more than few CA organizations.

In software solution OrganizedDocs, it is possible to electronically sign .PDF files. It means that, for this kind of files, an icon for electronic signature will appear in the Actions drop down menu.

By clicking on the icon, a new window will appear which will demand running java environment that is necessary for realization of the signature.

In the window that opens up, you can choose which certificate you want to use for signing the document. This means that there can be more certificates installed in one computer, each used for a different person.

After you choose your certificate, click on “Sign the document”.  The system will ask for your pin, which will eliminate the possibility of someone else using your electronic signature.

Electronic signing will be finished in no time. From that moment on, the document won’t be able to undergo any change – it could still be signed, but could no longer, under any circumstances, be changed. In that way you protect the person who signed the document first – in the sense of disabling anyone else to change what was signed and to abuse the initial signature.

Transform to PDF

Dear users and potential users,

it’s high time to cheer you up with another innovation in our online document management systemOrganizedDocs. We have implemented a possibility of transforming certain types of documents into PDF format.

You are now able to transform all of your contracts, offers, reports, etc. into PDF format by a single click of your computer mouse and then send them to your clients.

You can also set a rule in some of your folders so that each document you later add to it is automatically transformed into PDF format. This option can be very useful if you are importing more documents from your computer or if you want to save important e-mails from your clients.

During the transformation, a new document will appear. It will have the same name, but it will be in PDF format, and at the same time, the original document will be saved. Transformed documents automatically support version control.

Multiselection implemented

Having spent a month on improving OrganizedDocs service, it is our honor to inform you we have implemented one very useful option.

From now on you can copy and move more files and folders at once! We have implemented multi-selection, or the possibility for users to select more files and folders at once and to execute actions on them.

By using this option you can easily reorganize your documents.  Selected documents can be exported to ZIP archive for further handling. This feature does not exist in original Alfresco instance and we think this will make document management much easier.

Import Documents – Easier and Faster!

To import your documents into OrganizedDocs, so far you were required to zip up your files and folders and to import that zip archive.

Well, to be honest, that wasn’t really the easiest way to import your documents. That being said, we have completely changed the Import feature. Now it’s easy and fast!

Now you can import your documents into OrganizedDocs with just few simple steps. You can import files and entire folder structure with sub folders and its files within a seconds!

First, navigate to the folder you want to import document to and then click on the Import icon in the toolbar. New pop up window will open.

There you can browse your files and folders by clicking on the browse button, OR you can just drag and drop files and folders into pop up! Once you select your files and folders, just click on the Upload button and sit back and relax while your documents are being imported into OrganizedDocs.

Once the upload is completed, just click on the folder you imported your documents and you will see them all there.

Fast. Simple. Efficient. Check by your self!
